Privacy Policy

Version: 2026-09-21

This is the privacy policy for volarelanguage.com (Volaré), a reading platform for Spanish teachers and their students. It explains what personal information we collect, how we use it, how long we keep it, and what rights you have over it. This policy covers two kinds of accounts: adult account holders — teachers and, where applicable, parents — who sign up, subscribe, and manage a class, and the students those teachers enroll. If you’re a teacher or parent, this policy covers both your own account information and the information collected about the students you enroll. If you’re a parent or school with a question about a specific child’s data, see the Children’s Privacy Notice, a companion document this policy cross-references below.

What We Collect

For a teacher or parent (adult account holder): When you create an account and subscribe, we collect the standard account and billing information that WooCommerce, the platform we use for checkout and subscriptions, collects from anyone purchasing a subscription: your name, email address, billing details, and order history. We also record three pieces of information when you complete the required consent step before managing a classroom: the timestamp of your consent, which version of the terms you agreed to, and which enrollment basis you attested — that you have your school’s authority to enroll students, or that you’ve already obtained parental permission.

For a student: We collect only three things — a nickname the student chooses themselves when they join a class, the class (managed by their teacher) they belong to, and their reading progress and activity scores: which lessons and books they’ve worked through, and how they did on the quizzes and activities inside them. We do not collect a student’s real name, email address, or date of birth, and there is no field anywhere in the system that asks for any of those. A student account is created with no email address at all — there isn’t one to store.

How We Use It

We use a teacher’s or parent’s account information to provide the subscription and the reading platform itself: to process payment, manage the subscription, and let you sign in and manage your class. We use a student’s nickname, class, and progress data to run the reading platform for that student and to show their teacher how their class is progressing through a book. We don’t use any of this information for advertising, and we don’t run ad-tracking on the platform for students or anyone else. We don’t build profiles from this data, we don’t sell it, and we don’t use student data to train any model or algorithm.

Children Under 13

Because Volaré may be used by students under 13, we’ve published a separate Children’s Privacy Notice that explains in plain terms what we collect for a student, how a child joins a class, and how consent works. In short: a child never provides personal information directly, enrollment happens entirely through their teacher, and before any student can join, we require that teacher to confirm they have either their school’s authority to enroll students or already-obtained parental consent. Everything in that notice is consistent with, and part of, this policy.

Sharing

We share personal information only with the service providers we use to run the platform — hosting, payment processing, and, where applicable, email delivery — and only to the extent each of them needs it to do its job (for example, our payment processor needs your billing details to process a charge; our hosting provider stores the data because that’s where the platform runs). We don’t sell personal information to anyone. Student data is never shared with, or exposed to, any advertising or analytics service, and students are excluded from any marketing communication.

Retention & Deletion

Student records: A student’s records are deleted automatically within 90 days of either of the following scenarios: the teacher’s subscription has been canceled or expired (and the teacher holds no other active subscription), or the class itself has been archived. Deletion is also available on request at any time (see Your Rights below).

Teacher and parent (account holder) data: We keep your account and billing data for as long as your account is active, and for whatever additional period we need to for normal business and legal purposes (such as tax and accounting records).

Your Rights

If you’re a teacher, you can export or delete the records of the students in a class you own. For every export and delete action we verify that you actually own that class (and, for a single student, that the student belongs to it) before doing anything. If you’re a parent, a school, or anyone else with a request about a specific child’s data, contact kristy@placidolanguage.com. As a teacher or parent, your own account data (your consent record and the classes you own) is also available to you directly through WordPress’s own, built-in Export Personal Data and Erase Personal Data tools, WooCommerce’s own order and billing data is covered by WooCommerce’s own exporters and erasers, registered with that same WordPress tool. For any request that doesn’t fit these self-service paths, contact kristy@placidolanguage.com.

Security & Hosting

Volaré is hosted on Kinsta, with servers in the United States. Access to a teacher’s class and student data is restricted in the code itself, not just hidden in the interface: a teacher can only ever reach the classes they actually own, and the site-wide tools that reach across every teacher’s classes are restricted to Volaré administrators. Every sensitive data operation — a student or class export, a student deletion, and any administrator access to another teacher’s class — is written to an access log that records who did it, when, what was done, and what it was done to. For the full technical detail, see the Security Overview document.

Contact & Changes

If you have a question about this policy, or want to make a request about your data or a student’s data, contact us at kristy@placidolanguage.com. If we make a material change to this policy, we’ll update the version date at the top.
